Administrative Assistant


The Administrative Assistant works part-time to ensure church operations run smoothly and effectively
and to lend administrative support to the Minister.
The Administrative Assistant is employed by and for the congregation but takes direction primarily from
the Minister.
The starting wage is in the range of $15/hour to $17/hour, depending on skills and experience, at 6
hours/week from September to June.

Description of Castlegar United Church

Castlegar United Church is a one-point pastoral charge of the United Church of Canada in Kootenay
Presbytery. We have recently transitioned to a new minister and are envisioning ways to be “church” that
are vibrant, dynamic, and faithful to the good news of peace and justice for all people. Following Jesus'
example, we recognize all people as children of God and celebrate diversity in race, class, gender, sexual
orientation, ability, age, and creed. We believe the Gospel is about transformation, and so we seek to
create opportunities for people to transform their lives and live into the abundance of which Jesus taught.


  • solid communication skills, including electronic and social media
  • good inter-personal skills
  • proficiency with word processors (including LibreOffice or equivalent) and web apps (such as Mailchimp or equivalent)
  • belief in the life and work of the church
  • proficiency learning new technology
  • good attention to detail
  • self-starter, able to initiate and work 
  • aptitude with general office skills (eg. filing, desktop publishing, document production) 
  • able to work well with volunteers
  • able to maintain confidentiality
  • good problem solving skills (eg. with printers and Internet)


There are two categories of duties: supporting the administrative functions of the church and supporting
the worship leader (normally the Minister) to prepare Sunday morning services
  1. Supporting administrative functions of the church
  • booking and organizing church rentals
  • ordering supplies, filing, arranging maintenance for office equipment as needed
  • preparing welcome packages for newcomers
  • maintaining the website
  • organizing, formatting, and printing the Annual Report
  • completing the annual statistics forms
  • making signs and posters
  • keeping entrance tidy
  • keeping mailing lists current
  • maintaining policy manual
  • keeping office space and equipment in good order
  • notifying the envelope steward of any change of address
  • preparing newsletter 2 to 3 times a year
  • submitting timecard to treasurer for compensation
  • completing other commensurate tasks as requested by the Minister
  • facilitating logistics for special events like funerals, weddings, or baptisms
  • advertise special events
  1. Supporting preparation for worship
  • preparing and printing the weekly order of service
  • preparing worship aids, including visual aids like presentations
  • preparing Church Chimes or equivalent weekly notice
  • preparing the sanctuary for Sunday worship, as needed
The tasks and duties will be reviewed on an ongoing basis.

Ministry and Personnel Committee

The Administrative Assistant will be represented on the Ministry and Personnel Committee and has access
to the committee at all times. This representative is chosen by the Administrative Assistant and is added to
the Committee that has been appointed by the Board.


  • Minimum of six hours per week from September to June. Additional time may be added as required, pending approval from the Ministry and Personnel Committee
  • The starting wage will be $15/hr to $17/hr based on skills and experience
  • Most will be in the church building with some opportunities to work off-site (eg. at home)
  • The Administrative Assistant generally does not work during July and August. There may be weeks off at other times of the year, with sufficient notice and approval of the Ministry and Personnel Committee. (We need lots of administrative support in December and in the weeks leading up to Easter; time off at these times of theyear is strongly discouraged.)
  • The Ministry and Personnel Committee will conduct an annual performance review.
  • A 90-day probationary period will be in effect


Both the Administrative Assistant and the Ministry and Personnel Committee are required to give one
month's notice of either resignation or termination.
An appeal process in the case of termination will be provided by the Ministry and Personnel Committee,
making use of the resources as outlined in the Ministry and Personnel Committee Handbook
